Collectual connects clients with people who have relevant professional experience. This notice describes how this early version handles information.

What you share

Clients sign in with Google and provide a project brief, screening questions, budget, and consultation preferences. Invited experts provide their name, contact details, professional background, availability, and voice interviews or recorded or written screening answers.

How it is used

The Collectual team uses this information to assess relevance, prepare a shortlist, and coordinate consultations. Completed screening answers are evaluated using Google Gemini through Vertex AI, including transcription of audio and video. The system scores relevant background, demonstrated expertise and project relevance. Only candidates scoring above 80 out of 100 automatically appear in the client’s shortlist, ordered by score. Lower-scoring submissions remain accessible to the Collectual team. These assessments can be wrong and do not independently verify identity, employment or qualifications. You can contact your research coordinator to request human review or correct your information.

When you open an invitation, Google Gemini may use the professional information already sourced for you and Google Search to suggest missing profile details. Your name, known company or business email domain, and professional profile link help distinguish you from people with similar names. Suggestions can be wrong: please check and edit them before continuing. Your availability and consent remain your choices.

Who can see it

The Collectual team can access project and candidate information. Clients can access their own projects and the profiles and answers of candidates shortlisted for them. Candidate invitation links provide private access to a screening flow; keep your link private.

Recordings and consultations

Your browser requests permission before accessing your microphone or camera. For individual recorded or written answers, you can review or replace an answer before submitting. During an AI voice interview, audio chunks and speaker-labelled transcripts are saved as the conversation progresses, including partial interviews after a connection failure. You can stop at any time. Google Gemini processes the live voice conversation and assesses the saved transcript and relevant professional evidence. For separate recorded answers, recordings are uploaded when you choose to save an answer. After submission, contact the person who invited you to request a correction or deletion. Consultations are separate from screening. Before joining an embedded Collectual consultation, each participant is asked for separate consent to recording, transcription and AI analysis. Recordings, transcripts and research briefs are accessible to the project client and authorised Collectual team. Contact the team before joining if you need an alternative without recording.

Storage and service providers

Daily provides embedded consultation calls and cloud recording. Its post-call transcription uses Deepgram. We copy recordings and transcripts into private Google Cloud storage and use Google Gemini to prepare a research brief for team review. Speaker labels and AI summaries can be inaccurate and are not independent verification of participants’ claims. Consultation media may also remain with Daily while it is retained for these service purposes. You may contact us to request access, correction or deletion of consultation data.

Collectual uses Google Firebase for authentication, database storage, recording storage, and application hosting. Google Gemini provides the AI voice interviewer and live transcription. Relevant project context and your professional details are shared with these providers for the screening. App Check uses reCAPTCHA Enterprise to help protect access to the service. Google’s Privacy Policy and Terms of Service apply to reCAPTCHA. This version does not include advertising pixels or payment processing.

For access, correction, or deletion requests, contact the Collectual team through the person who invited you or manages your project. Only share information you are authorised to disclose.
